Season Sign-Up: What Customers See

The one page your customers get from a season sign-up campaign - by email, text, or printed packet - from the program and prices to the one signature that signs the agreement and any permit.

A season sign-up campaign sends each customer one page. It arrives three ways - the link in the quote email, the link in a text, or the QR code on a printed packet - and it is the same page each time, so a customer who got paper can still sign up online. This article walks the page the way a customer does, so you know what they are looking at when they call.

Every quote link opens this page, not only sign-up quotes, but the season wording is for a season sign-up only. Any other quote - a one-off repair, a weekly pool agreement, a renewal campaign - reads as a plain quote: Your quote with the quote number and Accept by date, Decline instead of Not this year, Review and accept, and Quote accepted at the end. Its pills read Quote, Accept, and done; the property and permit steps appear only for lake and pond sites and only when your company has Permit Applications. The rest of this article describes the season sign-up wording.

What a plain quote says on the last page depends on the work:

  • Recurring work (the work type makes an agreement when the customer accepts): Your Company will be in touch before your first visit (agreement January 1, 2026 - December 31, 2026). and the email before each visit.
  • One-off work (a repair, a heater replacement): Your Company will be in touch to schedule the work. There is no agreement line and no visit email.
  • The invoice line follows how the agreement bills: after each visit, once a month, when the agreement starts, at the end of the season, and so on. One-off work is invoiced after the work is done.

Every quote, season sign-ups included, shows the Customer Notes you wrote on the Program and Review pages (as plain text), and any PDFs you attached under Attached documents on the Program page; each opens in a new tab.

The page

The progress pills across the top read Program, Property, Permit, Sign, and Autopay; pills that do not apply are not shown. The page saves as the customer goes, so the same link brings them back to the step they left. The footer reads Powered by OpsVara.

  1. Program

    Titled Your 2027 program for Fish Lake. Under Hi Sam - here's this year's plan. Tick what you'd like, then sign once at the end. comes the deadline banner: before the date, Sign up by March 21 to avoid the $25 Late processing fee, with N days left inside the last two weeks; after it, an amber The March 21 sign-up date has passed, so a Late processing fee of $25.00 is added. You can still sign up today.

    Included lists the lines that are part of the program. A permit fee line reads Billed with your first invoice. We file the permit for you. Optional add-ons are cards the customer taps on or off; an add-on the site had last year carries You had this last year and starts ticked. Your total for 2027 updates as they tap, and reads Includes $25.00 Late processing fee when it applies.

    The footer offers Not this year and Continue.

  2. Property (lake and pond sites)

    One screen per site, Property 1 of 2, prefilled from last year: How we spot your place from the water, an optional photo from the water, Shoreline feet you own, Shoreline feet to treat, Feet out from shore, Do you water your lawn or garden with lake water?, and the neighbours on the left and right. Where to treat (optional) is a map where they can draw the shoreline or the area; drawing a line fills in the feet to treat. The feet, irrigation answer, neighbours, and description are written to the site when they continue; a drawing waits for the office under Review drawing on the board. They can Skip for now.

  3. Permit (with Permit Applications)

    Titled Your permit - we file it for you. Already filled in shows the applicant and everything OpsVara took from the customer and the site, read-only; Something wrong? Use Back to change your property details. A few things only you know asks the remaining questions, and See the full form as it will be filed shows the application as it will go to the regulator. A required answer left blank is allowed through - You can continue and we'll ask again before you sign.

  4. Review and sign

    One signature covers your 2027 program and your permit application. What you're signing up for lists the chosen lines and the total, with the late fee line when it applies. Your details confirms name, email, and phone. The terms follow, then two statements to tick: that they agree to the services and prices, have reviewed the terms, and sign electronically; and, when there is a permit, that they make application for it as the applicant with the same signature. Type your full name to sign and Sign and finish. The note under the box says the name, time, and device details are stored with the signed documents.

  5. Autopay (optional)

    Shown only when the campaign offers it and online payments are on. Skip the checks this year explains that a saved card is charged when each invoice is issued; the buttons are No thanks and Set up automatic payments.

  6. You're signed up

    Your Company will file your permit and be in touch before your first visit (season May 1 - October 15). What happens next lists the permit submission, the email before each visit (including when to switch off lake-water irrigation, if they said they irrigate), and when the invoice arrives, worded to match how the agreement bills (after each visit, monthly, when the agreement starts, and so on). Your copies offers Signed agreement (PDF), one Permit (PDF) per site, and Print this page. If a permit answer was still blank, the page says One permit still needs a couple of answers before we can file it with Finish the permit, which asks for that answer and signs the permit on its own. Declining

Not this year opens Not this year? with reason chips - I sold the property, Too expensive this year, Going with someone else, Didn't have a problem last year, Something else - and Anything else you'd like us to know (optional). I'm not signing up this year marks the quote declined and shows Thanks for letting us know with the reason and your phone number. The board shows Declined with the reason on the row.

The printed packet

A customer with no email, or one marked Prefers paper, gets the same content on paper:

  1. The letter from the campaign's Deadline & Packet step, the respond-by date and late fee in a box, this year's program per site with the add-ons as tick boxes (pre-ticked when the site had them last year), the permit fee, the total, the terms, and a QR code with Prefer to sign up online? Scan or visit the link.
  2. The sign-up form with the property details OpsVara knows printed in, blank lines for the rest, a box to sketch the shoreline, the add-on boxes, the policy statement, and a signature and date line.
  3. The permit application, one per lake site, prefilled from the customer and the site with blanks where only the customer can answer, plus the acknowledgment and signature lines.

Scanning the QR code opens the online page above; a customer who mails the form back is keyed by the office with Record signed form, which is covered in Run a Season Sign-Up.

Reminders they receive

While the deadline reminders automation is on, an open quote gets an email on the campaign's "before" days (14, 7, and 2 by default) and a late notice the day after the deadline, and a text on the same days when the campaign has texts on and the customer has agreed to them. The default subject is Your Company: Sign up for 2027 by March 21; the default text reads Your Company: Your March 21 sign-up deadline is coming up. Sign up here: followed by the link. Reminders stop the moment they sign up or decline.

  • This link has expired - the quote was updated after it was sent. The office edited the quote after sending; Resend from the quote issues a fresh link. A print row's link is never regenerated, so a mailed QR code keeps working.
  • This sign-up link has closed. The quote passed its Accept Quote By date, was voided, or was declined; the page shows your phone number.

Frequently asked questions

Does the customer need a portal login?

No. The email link, the text link, and the packet's QR code all open the same page with no sign-in. The same link resumes where they left off, and the page offers Create an account only at the end.

What if the customer ignores the deadline?

They can still sign up until the quote's Accept Quote By date. If the campaign charges a late fee the page says so in an amber banner and the total shows "Includes $25.00 Late processing fee"; the fee is added as one line the moment they sign.

Does one signature really cover the permit too?

Yes. On Review and sign the customer ticks two statements - one for the program, one for the permit application - and types their name once. The same name, time, and device details are stored on the signed agreement and on every permit created.

The customer signed but the board says "permit unsigned". Why?

A permit answer only they know was still blank, so the permit was created but not signed. The Done page tells them "One permit still needs a couple of answers" with a Finish the permit button; the office can also ask them, or key it with Record permit.

What does the customer see if they decline?

Not this year opens a short sheet with reasons - I sold the property, Too expensive this year, Going with someone else, Didn't have a problem last year, Something else - and an optional note. The board shows the reason on the row.

What is on the printed packet?

The letter and this year's prices with a QR code to the online page, a sign-up form with the property details OpsVara already knows filled in and blanks for the rest, and any permit application prefilled with blanks for what only the customer can answer.
