Set Up Stock Locations

Add warehouses, trucks, crew kits, and site stock — including Add from Vehicles so job usage draws from the truck the crew signs out.

Stock locations are the warehouses, trucks, crew kits, and sites where inventory physically sits. Inventory is included on Crew and up; Launch does not include Inventory. A Main Warehouse (code MAIN) is created automatically the first time stock needs a default home — receipts and adjustments fall back there.

Trucks you already entered under SettingsVehicles do not become stock locations on their own. Add from Vehicles copies each truck’s name and code into a Vehicle location so clock-in sign-out can deduct job materials from that truck.

This is the same on pool, aquatic, lawn, and core accounts. The Site type is labeled Site here even when the rest of the app says Pool or Property.

  1. Open Stock Locations

    Go to InventoryStock Locations. The tab sits on the Inventory strip after Overview. The page reads Warehouses, trucks, and crew kits that stock can sit in.

  2. Add the trucks first if they are not in Vehicles yet

    Open SettingsVehicles (also Vehicles in the Optimize section of SettingsSetup Wizard). Add each truck by name. Plate and default driver are optional. Empty is fine during setup — you can Skip Vehicles For Now in the wizard and come back.

  3. Bulk-add those trucks as stock locations

    On Stock Locations, click Add Location. Set Type to Vehicle. Click Bulk add from vehicles (it reports how many vehicles are not added yet). The Add from Vehicles dialog copies each truck’s name and code. Job usage follows whoever signs the truck out at clock-in. Click Add All (with the count) or Add on one row, then Done. Already-linked trucks show ✓ Added.

  4. Add a warehouse, crew kit, or site by hand when you need one

    Add Location opens Add Stock Location. Type is Warehouse, Vehicle, Crew, or Site. Fill Name (required) and optional Code (for labels). For a single truck, pick Vehicle so whoever signs that truck out draws usage from here. For a Crew kit, pick Assigned to — a crew kit belongs to one person. Click Create.

  5. Assign, make default, or open on-hand

    The ⋮ menu on a row is Edit, Make Default (active non-default rows), Assign / Unassign (Vehicle and Crew only), and Delete (not the default). Assign on a truck is titled Assign Truck; Assigned To sets the default driver. Click a row (not the ⋮) for the on-hand sheet: Search (product or SKU), Category (including All Categories), 20 per page, Transfer on each row, and Download CSV.

Name collisions

Add from Vehicles skips a truck when a live stock location already uses that name. The row shows A stock location with that name already exists — link it with Edit instead. It also skips Already has a stock location, inactive trucks, and a duplicate name or code after a race. One skip does not block the other trucks.

Changing an existing Vehicle or Crew location to Warehouse or Site warns that job usage will no longer draw from here. The default location cannot be deactivated or deleted — Make Default on another active location first. Deleting a location that still holds stock requires Move stock to before Delete Location.

Verify it worked

On InventoryStock Locations, each truck you added appears as type Vehicle with the truck name (and plate when you entered one). Reopen Add from Vehicles — those rows read ✓ Added, and Add All is disabled when none remain. Complete a visit after the crew signs that truck out at clock-in: materials should deduct from that location, not the warehouse, unless nobody signed a vehicle out.

Frequently asked questions

Why is Add from Vehicles missing?

Open Add Location, set Type to Vehicle, then click Bulk add from vehicles. The banner only appears when you are creating a location (not editing) and at least one truck exists under Settings → Vehicles.

A truck was skipped with a name warning. What do I do?

A stock location with that name already exists — link it with Edit instead. Open that row’s ⋮ menu, choose Edit, set Type to Vehicle, and pick the truck. Add from Vehicles will not create a second location with the same name.

Does Assign on a truck decide whose job usage draws from it?

No. Assign sets the vehicle’s default driver. Job usage still follows whoever signs the truck out at clock-in.
