Move a Site to Another Customer
Change which customer owns a site when the property changes hands or was filed under the wrong account. History, permits, and equipment stay on the site.
Updated October 1, 2026
A site belongs to one customer. When a property is sold, an HOA changes management, or a site was created under the wrong account, Move to another customer on the site page changes that one link. Everything the site has accumulated stays with it: past visits, invoices, permits, equipment, map pins, treatment areas, and its place on any saved route. What was billed to the previous owner stays billed to them.
The move is refused while anything would still bill the previous owner for the site, or while a quote sent to them for the site could still be approved, so the dialog checks first and names what is in the way.
Open the site
Open the site from DirectoriesSites or from the customer's site list. In the actions menu (the button beside Edit), choose Move to another customer.
Clear anything that blocks the move
If the site is under a contract whose status is Active or Paused, or has a visit that is scheduled, delayed, or in progress, the dialog lists them instead of a search box, each linked. End Contract on the contract, and complete or cancel the visit, then reopen the dialog. Contracts that have expired, completed, been cancelled, or been archived do not block.
A quote with the status Sent that names the site is listed under Sent quotes with its number and the customer it was written for. Open it and choose Void from Actions, or edit it to cover a different site, then reopen the dialog. Draft, approved, declined, expired, and void quotes do not block. Neither does a Sent quote whose Accept Quote by date has passed: the customer can no longer approve it, and recording its acceptance after the move is refused.
Choose the new customer
Type at least two characters of the customer's name. Only active customers are offered, and the current owner is not. Pick one from the list.
Confirm
The dialog spells out what changes and what does not. If the site has draft quotes, it names them: they stay with the previous customer, so re-address or delete them after the move. Click Move to the customer's name. The page reopens under the new owner with Moved to … at the top.
What moves and what stays
| After the move | |
|---|---|
| The site itself: address, kind, notes, tags, visit length, on-site contact, permits, map pins, treatment areas | Belongs to the new customer. |
| Equipment on the site | Belongs to the new customer. |
| Past visits and their reports | Stay on the site's Visits tab, still showing the customer they were done for. |
| Invoices already sent | Stay with the customer they went to. |
| Draft quotes that name the site | Stay with the customer they were written for, and cannot be sent to them any more. Re-address or delete them. |
| Saved routes | The stop stays on its route; it shows the new customer's name. |
| Portal access | The previous owner's portal users stop seeing the site; the new owner's start. |
| Activity | Both customers get a note recording the move. |
Move first, then write the new contract
If the new owner will be on a contract, end the old one, move the site, and only then create the new contract under the new customer. Creating the new contract before the move puts it on a site the new customer does not own yet.
Moving many sites at once
To move several of one customer's sites together, such as a property manager's homes going to a new manager, use Move Sites on that customer's Sites tab. See Change Property Managers in Bulk.
A site cannot be unowned
There is no way to park a site with no customer. For a property you expect to sign but have not, create a Lead: it carries the service address and site map, and converting it creates the customer and the site together.
Verify it worked
Open DirectoriesCustomers: the site is listed under the new customer and gone from the old one. Open the site's Visits tab and confirm the past visits are still there. Both customers' activity history shows the move.
If something is off
| What you see | What to check |
|---|---|
| The dialog lists a contract you thought was over | Its status is still Active or Paused. Open it from the link and use End Contract. |
| The dialog lists a visit | It is scheduled, delayed, or in progress. Complete it, or cancel it from its job page, then try again. |
| The dialog lists a quote under Sent quotes | Its status is Sent, so the customer could still approve it. Open it from the link and choose Void from Actions, or edit it to cover a different site. |
| This quote is for a site that now belongs to another customer — void it and write a new quote. when sending a quote | The quote (a draft, or one you are resending) was written for the site's previous owner. It is not sent and stays as it was. Void it and write a new quote for the new owner. In a quote campaign only that customer's row fails, with A site on this row now belongs to another customer, so no quote was sent. |
| This quote is for a site that now belongs to another customer, so a job cannot be created from it. (or so it cannot be invoiced from here.) | Create Job or Create Invoice on a quote the previous owner approved before the move. Nothing is created. |
| This quote is for a site that now belongs to another customer when recording acceptance | The quote was written for the site's previous owner. Void it and write a new quote for the new owner. The customer sees This quote is no longer available. Please contact us. if they try to approve it. |
| That customer is archived | Restore the customer first; a site cannot move to an archived account. |
| The customer you want is not in the search | Only active customers are offered. Check the spelling, or check whether the customer is archived. |
| Something changed while this was open | A visit was scheduled, a contract activated, or a quote sent after the dialog opened. Clear it and try again. |
Frequently asked questions
Does the old customer lose the site's history?
No. Every visit, invoice, permit, and piece of equipment is stored against the site itself, with a record of which customer it was for at the time. After a move, the site page still lists all of it, and invoices already sent still show the customer they went to.
Why can't I move a site that is under contract?
Visits are generated from the contract, and the contract names the customer they bill. A site moved under a live contract would keep producing visits billed to the previous owner. Use End Contract on that contract first, then move the site, then write the new owner's contract.
Why can't I move a site that has a sent quote?
A quote with the status Sent was written for the current customer and names this site. If they approved it after the move, they would be billed for a site they no longer own. Void the quote from its Actions menu, or edit it to cover a different site, then move the site. Draft quotes do not block; they stay with the customer they were written for, and can no longer be sent once the site has moved. A Sent quote whose Accept Quote by date has passed does not block either.
Can a site exist without a customer?
No. Every site belongs to exactly one customer. For a prospective site that has no customer yet, use a Lead, which carries a service address and site map and creates the customer and site together when it converts.
Do I need to re-invite anyone to the portal?
Portal access is by customer, so the previous owner's portal users stop seeing the site and the new owner's start, with nothing to re-invite. If the new owner has no portal user yet, invite one from their customer page.
