This Privacy Policy ("Policy") describes how Solvara Labs LLC ("Solvara Labs," "we," "us," or "our") collects, uses, stores, shares, and protects information obtained through the Opsvara platform, website at opsvara.com, and related services (collectively, the "Service"). This Policy applies to all users of the Service, including account administrators, Authorized Users, and website visitors.

By accessing or using the Service, you acknowledge you have read, understood, and agree to the practices described in this Policy. If you do not agree, please discontinue use of the Service immediately.

1. Information We Collect

1.1 Information You Provide Directly

We collect information that you or your organization voluntarily provides when you:

Create an account: name, email address, phone number, company name, billing address, and role.

Subscribe to a plan: payment information (processed by our third-party payment processor, Stripe — we do not store full credit card numbers), and billing details.

Use the Service: job records, client and site information, field worker data, route data, schedules, chemical and treatment logs, work orders, invoices, estimates, field notes, and photo documentation.

Contact us: communications you send to our support or sales team.

Request a demo or free trial: name, company, email address, and operational context.

1.2 Information Collected Automatically

When you use the Service or visit our website, we automatically collect certain technical and usage information, including:

Log data: IP address, browser type, operating system, referring URL, pages viewed, and timestamps.

Device information: device type, unique device identifiers, and mobile network information.

Usage data: features accessed, clicks, session duration, search queries within the Service, and workflow activity.

Location data: with your permission, GPS or geolocation data from mobile devices used by field workers, solely to support route optimization, job assignment, and field tracking features.

2.1 To Provide and Operate the Service

Create, authenticate, and manage your account.

Enable all platform features including scheduling, job dispatch, route optimization, field documentation, invoicing, and reporting.

Power the Ask Opsvara AI Agent, including analyzing your operational data to generate recommendations, routing intelligence, and business insights.

Provide customer support and respond to inquiries.

2.2 To Improve and Develop the Service

Analyze usage patterns and product telemetry to improve platform performance and user experience.

Generate aggregated, anonymized industry benchmarks and analytics.

Conduct research and development for new features and vertical-specific capabilities.

Debug, test, and resolve technical issues.

2.3 To Communicate With You

Send transactional communications: account confirmations, invoices, payment receipts, and service alerts.

Send product and feature updates, release notes, and platform notices.

With your consent, send marketing communications about Opsvara features, promotions, and field service industry insights. You may opt out at any time.

2.4 For Legal and Compliance Purposes

Comply with applicable laws and legal obligations.

Enforce our Terms of Service and this Policy.

Respond to legal process, court orders, or government requests.

Protect the rights, property, or safety of Solvara Labs, our users, or the public.

Prevent fraud, abuse, and unauthorized access to the Service.

3. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

3.1 Service Providers

We share information with third-party vendors who process data on our behalf to help us operate and deliver the Service, including:

Cloud hosting and infrastructure providers (e.g., AWS, Google Cloud).

Payment processor: Stripe, Inc. — governed by Stripe's privacy policy.

Mapping and geolocation services: Google Maps Platform.

Email and communications platforms.

Analytics and monitoring tools.

All service providers are bound by contractual obligations to handle Customer Data only as instructed by Solvara Labs and in accordance with applicable law.

3.2 Business Transfers

If Solvara Labs undergoes a merger, acquisition, reorganization, bankruptcy, or sale of all or substantially all of its assets, your information may be transferred as part of that transaction. We will notify affected users via email or a prominent notice on our website prior to such a transfer.

3.3 Legal Requirements

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to: (a) protect the rights or safety of Solvara Labs, our users, or the public; (b) prevent or investigate fraud or security incidents; or (c) comply with applicable legal obligations.

4. Data Retention

We retain Customer Data and personal information for as long as: (a) your account is active; (b) necessary to provide the Service; (c) required to comply with legal obligations; or (d) needed to resolve disputes and enforce agreements.

Upon account termination, we retain Customer Data for thirty (30) days to allow data export, after which it is permanently deleted from active systems. Anonymized, aggregated data derived from your use may be retained indefinitely for analytical and product development purposes.

You may request deletion of your personal information at any time, subject to our retention obligations under applicable law. See Section 6 (Your Rights and Choices) below.

5. Data Security

We implement and maintain commercially reasonable technical, administrative, and physical security measures to protect your information against unauthorized access, disclosure, alteration, destruction, or loss. Our security practices include, without limitation:

Encryption of data in transit using TLS/HTTPS.

Access controls and role-based permissions limiting internal access to Customer Data.

Multi-factor authentication options for account access.

In the event of a data breach that is likely to result in a risk to your rights or interests, we will notify affected users and relevant authorities as required by applicable law, without undue delay.

Notwithstanding the foregoing, no security system is impenetrable. We cannot guarantee the absolute security of your information. You are responsible for maintaining the confidentiality of your account credentials.

6. Your Rights and Choices

Depending on your location and applicable law, you may have the following rights with respect to your personal information:

Access: Request a copy of the personal information we hold about you.

Correction: Request that we correct inaccurate or incomplete personal information.

Deletion: Request deletion of your personal information, subject to our legal obligations to retain certain data.

Portability: Request that we provide your Customer Data in a structured, machine-readable format.

Withdraw Consent: Where processing is based on your consent, withdraw consent at any time (without affecting the lawfulness of processing prior to withdrawal).
